Comfort Care Services (CCS) works with over nineteen local and regional authorities in Berkshire, Buckinghamshire, London, and Surrey to deliver care in community services that exceeds the regulatory standards set by government policy. CCS provides a range of services from support for low need service users to secure hospital discharge. After its steady geographic growth in the past decade resulted in an increase in its operational footprint from one to thirty-five sites, CCS required a collaboration platform that would allow its distributed teams and partners throughout the United Kingdom to securely store, share, and collaborate on files. The company needed a simple streamlined collaboration platform that was compatible with a large variety of file formats as well as integrated with applications the organization was already using. The challenge was to allow its distributed teams to work together and co-author documents detailing company policy, procedures and best practice, and enhance team interaction in order drive down costs associated with delivering its care programs.
As part of its commitment to continuous improvement, Comfort Care Services adopted SkyDox’s cloud-enabled file sharing platform to create a highly secure, encrypted online workspace for staff to upload, download, review, and make comments on documents in real time – streamlining the collaborative process. In the past, CCS used email to share files; however, the resulting overflowing inboxes, poor security, and lack of auditability meant that employees were wasting a significant amount of time gathering feedback from multiple sources, tracking multiple document versions, and searching through extensive document libraries to find the documents they needed. SkyDox has replaced email as an efficient way to share and collaborate on documents. The platform also provides greater coordination during team interaction and eliminates the security risks posed by sharing sensitive information via email.
With SkyDox, CCS staff are now able to ensure their documents are secure by assigning folder- and document-level access rights to prevent confidential files from being downloaded or passed on to those without access authorization, while still allowing users to benefit from document-centric collaboration. The ability to track document access at page-level also allows CCS staff to determine if and when the document was accessed, by whom, and which pages were viewed the most.
SkyDox’s application goes beyond basic collaboration features offered by existing tools, enabling users to search, store, deliver, and manage files in addition to simultaneously co-author and collaborate on documents through a single user interface. CCS team members are notified when files are uploaded or modified and when new comments and annotations are posted. In addition, live messaging, presence indicators, online meetings, and tagged commenting features deliver a document-centric collaboration experience for CCS staff and authorized third parties alike. The SkyDox platform also supports over 200 file types, allowing CCS and its partners to share and collaborate on the most widely used tools and file formats, including Microsoft’s PowerPoint, Word, and Excel files as well as Adobe System’s PDFs.
Abdul Sattar, Comfort Care Services Chief Executive Officer, commented, “With a focus on value for money in the current economic climate, our local authority clients expect us to deliver the best service at a compelling price. SkyDox is the ideal solution to any organization that wants to drive operational efficiencies because it helps streamline the collaborative process by ensuring all parties are updating or viewing a single version of a document. This means that all individuals are marking up and working on the most recent document at all times, eliminating the duplication of work effort, the need to deal with clashing feedback, and versioning issues. SkyDox also means our workforce’s time and effort is channelled in a more productive way making it overall more cost efficient.”
